Digital Asset Library

Accessibility, Information Architecture • 2025 • Role: Information Architect & Digital Asset Organizer

Overview

Over the course of my second summer internship with UL Research Institutes, I was tasked with building a digital asset library. For this project, I am organizing and consolidating digital assets from five teams into a centralized SharePoint library using information architecture principles.

Planning

After receiving my project brief from my managers, I was left with four tasks:

  • Evaluate the best platform for team asset management.
  • Establish a foldering system like below.
  • Sort/file digital assets based on recommended system/tool identified above.
  • Add taxonomy & tags to all images/folders

During planning, I documented questions that I needed clarification on before organizing anything, including:

  • What assets are included in the library
  • How often are assets added or updated
  • How are the teams currently organizing their assets

Before starting the process, I created a rough timeline of my work for the summer. This included:

  • Meeting with team managers to gather insight.
  • Time for researching platforms.
  • Time for drafting a folder structure.
  • A phase for collecting and organizing existing assets.
  • A final phase for tagging the assets.
  • Developing a process for adding and organizing new assets.

Process

I began by meeting with team managers to gather insight about what they would like to be included in the library. Once I gathered their feedback, I started designing a clear folder structure for the digital asset library. Next, I reached out to each team to collect their assets, then organize and rename the files according to the agreed-upon structure.


This process is ongoing, collecting new assets, organizing them, renaming them, and adding them to the library until all assets are consolidated. The final step will be compiling everything into a searchable SharePoint catalog to ensure all assets are easily accessible for the teams.

Results

he project is currently in progress. So far, the library provides a more organized and accessible system for teams, and early adoption has shown that they can more easily locate and use assets. Once complete, the library and catalog will serve as a centralized, scalable resource for all teams.
